How To Guide: Joining A Cloud Video Platform (CVP) Hearing

A step through guide of how to set up your device to join the CVP.

Joining The CVP For the First Time?

If you’ve been asked to use the CVP but are unfamiliar with how the Cloud Video Platform works, then you’ve landed in the right place. We’ll explain how to get connected to the court using your device, but if you’re still struggling, we can help provide a technician to help you on the day so that no matter what, you can focus on the hearing without the frustration of video, audio or connection issues.

Accessing the Call

When you’re asked to join a CVP Court hearing, you’ll be sent an email with a link to join the call, as well as a PIN.

Firstly, you need to open the CVP call from the email, which will be listed as ‘Web Browser.’ When you click the link, it will open the call in your default browser. We recommend using Google Chrome or Edge Chromium, but others such as Safari and Firefox will also work. If these aren’t set as your default browser, simply right click to copy the link, and then paste it into your chosen browser.

If for any reason you encounter issues trying to connect with your browser, you can click on the ‘Guest Link’ listed on the email instead. This will give you the option to once again join from your browser, which you may find works this time, or through Skype. When you click the ‘Skype’ option, it will automatically open either Skype, or Microsoft Teams, whichever you have downloaded. It’s best to make sure you have one of these apps downloaded in advance in case you encounter issues when trying to access the call.

Once you are able to access the call, a page will pop up asking you for your name. It’s important to enter both your name and your role on the call. For example: ‘Jane Doe – Claimant.’ This makes it easy for others in the call to identify the different parties they are speaking to.

Once you have entered your information, you will be given the opportunity to test your visual and audio settings. It’s very important to do this – if you find that there are problems with audio or video once Court has started, you may not be able to rejoin or reschedule. You should ensure that your settings allow access to both the camera and microphone, even if you keep yourself muted and your camera off for most of the call; otherwise you will not be able to be seen or speak when required.

Once you’ve allowed access, you should check the quality. Ensure that you can be seen clearly on the camera, and that the microphone is picking up your voice when you speak.

Once you’re happy with the way your video and audio settings are, click ‘Start.’

You will be prompted to enter the PIN you were provided on your email, which grants you access to the specific call you’re due to join.

Enter the PIN, and then click ‘Connect’ to join the call. If it doesn’t let you enter, it’s possible that the host of the call is not present yet, so double check that you are entering the PIN correctly, and keep trying until you’re able to join.

After you’ve connected, you will be placed in a waiting room until the other members of the Court are ready to proceed. There will be an audible prompt that lets you know you are successfully in the waiting room.

We understand that this process can be difficult if you’re unfamiliar with technology. If you feel you would benefit from a dedicated technician to ensure you can get set up successfully, reach out to our concierge service. We can help you connect, ensure your audio and visual quality is appropriate, and troubleshoot any issues you encounter throughout the proceeding.

Concierge for CVP

In some circumstances, users may not feel comfortable setting up or connecting to the CVP on their own. In this case, Eyenetwork offer a concierge service where we will connect you to the CVP securely and ensure you’re happy. This is a great service for those who may be less tech-savvy or simply require reassurance they have successfully connected.

Important Notice

If you are planning on connecting to the CVP, we strongly advise you to test your audio and video prior to the date and time of your hearing. Doing this will not only provide you with peace of mind but also ensure any connectivity or audio/video issues are fixed in advance.
